Erasmus+ Staff Mobility (KA131) Application process step-by-step

To ensure a smooth experience and successful grant management, please follow these steps:

1. Before Departure (The Preparation Phase)

The success of your mobility depends on the paperwork being completed before you leave.

  • Inscription: Choose the programme in the EBMX Academy website and send us your inscription through " Apply Now".

  • Mobility Agreement: Fill out the "Mobility Agreement for Training" or "Mobility Agreement for Teaching." This must be signed by three parties: you, your home university coordinator, and the host institution.

  • Grant Agreement: Sign the financial contract provided by your home University's International Office. This defines the scholarship amount and payment terms.

  • Insurance: Please ensure you have a valid European Health Insurance Card (EHIC). Although it is not a compulsory requirement, carrying it will significantly facilitate medical assistance and coverage in the event of a health emergency.

  • Logistics: Book your flights and accommodation. If you are using "Green Travel" (train, bus, or carpooling), keep your tickets, as you may be eligible for a higher top-up grant.

2. During the Mobility (The Week of the Course)

Focus on the training, but don't forget the administrative "must-haves."

  • Attendance: Attend all scheduled sessions of your 1-week course.

  • Certificate of Attendance: On the final day, EBMX Academy will issue the Certificate of Attendance/Duration.

    Note: The dates on this certificate must match the dates in your Grant Agreement.

  • Networking: Exchange contacts with international colleagues. This is a key goal of KA131—fostering future institutional collaborations.

3. After the Mobility (The Final Steps)

You usually have 30 days after your return to finalize the process.

  • Submit the Certificate: Send a scanned copy (and the original, if required) of your Certificate of Attendance to your International Office.

  • EU Survey: You will receive an automated email from the European Commission (via the Beneficiary Module). You must complete this online report to trigger the final payment of your grant, if applicable.

  • Dissemination: Share your experience! Whether through a brief presentation to your department or a blog post on the university website, spreading the knowledge is a core Erasmus+ value.
